Can a reusable clause library drive contract generation from Busabase?

Hovhannes Vktarget

Supplier agreements share standard clauses, but the chapters and attachments vary by deal type. Copying an old Word document and editing it each time makes sections easy to miss.

I'd like to link agreements, chapters, and clauses in Busabase, then pass the selected content to an external tool to generate an ordered PDF. How would you structure this? Signed agreements also need to retain the clause versions they used, while library updates apply to future agreements.

Yes. Keep a clause library, template packs, and contract instances in Busabase; let an agent or external doc tool render an ordered PDF, then store the final file on the instance. Signed PDFs should not rewrite when the library changes.

(Diagram: library → pack → instance → generate PDF.)

Suggested shape

1. Clause library — code, title, body, applicable deal types, active flag.

2. Template / pack — deal type, chapter order, required vs optional clauses.

3. Contract instance — supplier/deal, pack used, selected clauses, signature status, final PDF attachment.

Flow: pick deal type → load chapters → adjust optionals → generate → attach → sign/archive.

(Local demo: review sensitive clause picks before generation.)

How to verify

  • Two generates for the same pack keep chapter order and required clauses.
  • Editing an active clause does not mutate already signed instance PDFs.
  • Instance shows which clause titles/codes were used.

Boundaries

  • Copying old Word files still drifts from the library.
  • Layout/e-sign often stay external; Busabase holds structure and approval history.
  • Don’t auto-push library edits into signed attachments.

Structure in the library, freeze the executed copy on the instance.

Prompt you can give an agent

Assemble a contract instance from the “annual framework” pack: include all required clauses, list optionals for me to toggle, render a PDF, attach it to the instance, and record clause codes used. Never overwrite attachments on signed instances.

The library holds wording; the instance holds what this deal actually shipped.
