Some tasks are ready to proceed but cannot move forward until a customer chooses an option or a supplier confirms a detail. Beyond recording that the task is waiting, how should I capture the specific decision needed, the available options, and the person who must decide? I want the next follow-up to ask a concrete question rather than simply request an update.

When a task is ready but stuck on someone outside your team (customer choice, supplier confirmation), “waiting” alone is not enough. In Busabase, capture what decision is needed, which options exist, and who must decide, so the next follow-up asks a concrete question.
Recommended fields on the Task (or a linked Decision stub)
| Field | Type | Purpose |
|---|---|---|
status | Select | Include Waiting on external decision (alongside your usual open / done) |
decisionNeeded | Text / Long text | The exact question, e.g. “Confirm Option A or B for delivery window” |
options | Text or Select / multi | Available choices the decider can pick |
decider | Person, Text, or Relation → Contact | Who must answer |
askedAt | Date / DateTime | When you last asked |
unblocks (optional) | Text | What happens after the answer |

Day-to-day flow
- When work cannot proceed without an outside choice, set
status = Waiting on external decision. - Fill
decisionNeeded,options,decider,askedAt. - Keep a Follow-up view: filter
status = Waiting on external decision, sort byaskedAt. - Outreach message = the
decisionNeededtext + listed options—not “any update?”. - When answered: record the choice (comment or field), clear the block, move status forward.
How to verify
- Open the follow-up view: every blocked task shows a specific question and a named decider.
- A teammate picking up the row can send a useful ping without reading the whole history.
- Tasks that are merely “busy / in progress” do not sit in this view.
Boundaries
- Internal blockers (missing assignee, missing file) are different statuses—don’t overload “external decision.”
- If options are unknown, still write the decision needed (“Need supplier to propose lead time”) rather than leaving the row vague.
- After the decision, archive or clear
decisionNeededso old questions don’t drive new pings.
Share whether the decider is always a Contact record or sometimes free text, and we can align the field types.
