How should tasks extracted from meeting notes handle an unspecified deadline?

Thuy Tan Pham

A meeting says “follow up soon” without agreeing on a date. When an agent turns that into a task, I'd want the date left blank rather than filled with today or Friday.

In Busabase, how would you distinguish “no date in the source” from “not processed yet”? Would a “Deadline needs confirmation” status plus the source excerpt work well? Reviewers need to find these tasks instead of overlooking them because the date is empty.

Yes: if the meeting only says “follow up soon,” the agent should leave the due date blank, not turn it into today or Friday. In a Busabase Tasks Base, make Due date optional and keep two separate fields: Extraction status (unprocessed / extracted / reviewed) and Deadline status (not specified in source / explicit date in source / confirmed by owner). Also store the meeting-note link, exact source excerpt, task owner, and extraction time. “Not processed” and “processed but no agreed deadline” then have different values even though both may have an empty date.

Create a “Deadline to confirm” view filtered by Deadline status, not just empty dates. Have the agent submit its proposed tasks for review; the reviewer can compare each date and owner with the excerpt before merging. A useful prompt is: “Extract tasks from these notes. Set a due date only when the source gives a specific date. For ‘soon’ or similar wording, leave it blank, mark Deadline status as needs confirmation, and quote the source sentence. Keep unprocessed tasks separate from extracted tasks. Do not invent deadlines.”

Who should settle the date in your team: the task owner or the meeting organizer? The Chinese version of this discussion covers the same workflow.
