In the CRM template, should a deal’s “next step” also be recorded as an activity?

A deal’s next step might be “call the customer on Friday,” while the same call could also be entered as a follow-up activity. How should these two pieces of information be maintained in Busabase CRM? Which one represents the agreed action, and what should be updated after the call so they do not contradict each other?

Treat them as two different jobs. On the deal, Next step is the single *current* agreed action. An activity / follow-up is an append-only history row of what already happened. You usually need both — not as duplicates of the same sentence.

Roles

PlaceRepresentsHow it changes
Deal → Next stepThe plan going forward (“call the customer on Friday”)Update or clear when the plan changes
Activity / follow-upA completed (or attempted) interactionAdd a new row; do not overwrite old history

So: Next step = “what we agreed to do next.” Activity = “what we did (and what we learned).”

After the call (so they do not contradict)

  1. Log the activity — date, channel, summary, outcome (connected / voicemail / reschedule).
  2. Refresh Next step — set the *new* agreed action (e.g. “send proposal Monday”), or clear it if nothing is scheduled.
  3. Do not leave “call Friday” as Next step after Friday’s call is done — that is how the two fields start fighting.

Optional: when creating the planned call as a scheduled follow-up, still keep Next step as the human-readable pointer on the deal pipeline card; after completion, mark/complete that follow-up and update Next step.

How to verify

  • Pipeline / deal list shows a sensible Next step for open deals.
  • Opening the deal shows a timeline of activities that grows; past calls remain readable.
  • After a call, Next step no longer describes that same call as if it were still future work.

Boundaries

  • Do not paste every activity summary into Next step — the deal card becomes unreadably long.
  • Do not skip the activity row and only change Next step — you lose the audit trail teammates need.
  • If your template names differ slightly (“Follow-up” vs “Activity”), keep the same split: one current pointer on the deal, many history rows beside it.

The Busa CRM template’s Deals + Follow-ups shape matches this pattern; adapt field labels with an Agent if your Space uses different names.
